Real Time ManagementRTM

Managing the current day's queues, staffing and adherence as events unfold.

Definition

Real time management is the intraday discipline of watching volume, AHT, staffing and adherence against plan and intervening while the day can still be saved. Typical levers are moving breaks, deferring offline activity, opening overtime, flexing skills and pausing outbound work.

RTM works on short cycles, often 15 or 30 minutes, and depends on a plan detailed enough to compare against. Without an interval-level requirement curve there is no baseline, only anecdote.

The RTM log is also a planning asset. Recording which intervals needed intervention, and why, is the fastest route to better forecasts and better shrinkage placement.

Why it matters

  • Because service level is highly non-linear, small timely interventions recover far more than large late ones.
  • RTM is where forecast error is absorbed; without it every forecast miss becomes a service level miss.
  • Good RTM documentation separates genuine forecast error from execution problems, which is essential for honest post-day review.
